About the Expenses Auto-categorization feature

The Auto-Categorization of expense accounts is a separate feature available for our customers who wish to save a great deal of time when validating payments at the end of the month. To enable it, please ask your Account Owner to get in touch with your dedicated customer success manager.

How does the Expenses Auto-categorization feature work?

When you make a payment, merchants send a unique transaction code to Spendesk.

In turns, our algorithms map this code to one of Spendesk's 19 pre-defined payment categories.

By mapping your custom expense accounts to the payment categories, Spendesk can automatically pre-fill the expense account to all the payments you'll be reviewing.


i.e. You have an expense account called Flights that you set up in the accounting section of Spendesk. Spendesk has a payment category called Airlines. Before the magic happens, you need to link Flights to Airlines.

Now, one of your employee bought a ticket on Air France and you are reviewing this payment line on Spendesk. You'll see that Spendesk has pre-filled the expense account Flights because it received the merchants code that was automatically recognized and categorized into the payment category Airlines. This will be the case for any airline company as the code will be recognized by Spendesk. So you don't need to create specific supplier rules and it's faster this way.
